Business Administrator Job at Microsoft · Nairobi, Nairobi County, Kenya (Remote)
- Planning and coordination of domestic and international travel plans
- Partnering with a team of business administrators to support the organization’s T&E budgets, employee onboarding, and offboarding
- Assisting with headcount management, vendor account management and onboarding and distribution and security group ownership and management
- Timely and accurate reconciliation of expenses, ensuring employees’ expenses comply with company policies and appropriate category of spend
- Space management, office moves, new hire set up and onboarding and procurement of equipment and supplies and organizing, managing and facilitating team events.
- Maintaining manager and group information with confidentiality
- Influencing and embracing cross-functional/cultural teams
- Ensuring compliance with Microsoft and team policies and procedures
- Rhythm Of Business: rhythms Of Business are typically driven in consultation with the team leadership and include townhalls and various technical reviews
- Business Operations: Proactively manage budget and accounting processes for the team, ensure operational hygiene and compliance to policies
- Executive Support: support executives travel itineraries, calendar, expenses, … Support end to end logistics and schedules for our external/internal executives including coordination with various levels of globally distributed teams. Manage schedules/calendars for the leader/s and anticipate needs to enable them to be more productive
- Team support: effectively plan and organize different team events. Coordinate off-sites. Single point of contact for all administrative tasks like raising purchase orders, verifying expenses as needed, procuring gifts/awards/…, promptly assisting with team requests while ensuring compliance with corporate policies and procedures.
- New Hires and workforce planning: help with new hires onboarding. Update and maintain organizational distribution lists, org charts and reporting and serve as a single point of contact for onboarding/exit processes and formalities
- Asset Management: Responsible for keeping track of all physical assets for the team, as well as procurement and disbursement per policy and budget
Qualifications
Required Qualifications
- 2+ years Administrative, Business Support, and/or customer service experience
- OR equivalent experience
- Effective written and verbal communication skills, including teamwork, facilitation, and negotiation.
- Experience managing executive visits, team events, budgeting, procurement and asset management.
- A great attitude and positive approach to people and tasks.
Preferred Qualifications
- BA/BS degree is desirable but not required.
- 4+ years of proven relevant work experience.
