Office Cleaner
Responsibilities
Cleaning Services
- Carry out daily interior cleaning by moping the offices, the corridors, washrooms and veranda as applicable.
- Dusting and wiping all interior surfaces, desks, doors and windows with disinfectants.
- Cleaning and disinfect the washrooms daily
- Carry out deep cleaning as scheduled. This will include polishing wooden floors, scrubbing the veranda, dusting off the interior walls and ceiling, removing cobwebs, wiping the light fixtures and switches plates, etc.
- Washing of kitchen utensils and maintain the kitchen to highest standards of cleanliness and hygiene.
- Collect waste daily and ensure they are disposed off to the central bin
- Avail water for flushing from available sources whenever there is a shortage in any of the work places toilets.
Consumables Management
- Keep records of kitchen consumables and cleaning supplies. Monitor usage and alert the facilities manager of any wastages.
- Support in the office consumables stock taking whenever required
- Support with raising purchase requests to replenish supplies whenever required
- Distribute consumables e.g tissues, hand paper towels, hand wash liquid etc, and ensure timely replenishment.
- Ensure timely refill of water in all dispensers and ensure the bottles cleanliness
Meeting and Conferences
- Ensure meetings rooms are cleaned and the furniture is well arranged and wiped off dust
- Ensure water is availed for participants and replenished in time
- Prepare coffee, tea and milk and serve snacks as requested.
- Support with any other arrangements for meetings as may be requested
Monitoring of Kitchen electrical appliances
- Monitor and ensure kitchen appliances are working and in good condition. Report on any electrical faults for timely repair.
- Carry out weekly thorough cleaning of appliances like water dispenser, coffee brewer, microwake and refrigerator.
- Handle carefully the kitchen appliances to avoid breakages and faults
Office Movements
- Assist with office movements where necessary and when requested to do so by line manager.
- Ensure all garden seat cushions are replaces on the tables at the end of the day and at the start of the rains
Any other duty as may be deemed fit.
Regional Humanitarian Policy Coordinator
Overall purpose of the role:
Reporting directly to the Regional Advocacy and Communications Manager, the Regional Humanitarian Policy Coordinator will play a key role in the Regional Advocacy and Communications Unit and will be responsible for pushing forward the implementation of DRC EAGL’s advocacy strategy and further develop DRC’s advocacy work.
The Regional Humanitarian Policy Coordinator will be responsible for engaging key stakeholders to work on a diverse range of policy issues that impact the effectiveness of humanitarian programmes in support of the most vulnerable populations in EAGL. Accordingly, the Regional Humanitarian Policy Coordinator will influence DRC’s strategic positioning, technical policy development and implementation of advocacy work in the region.
The Regional Humanitarian Policy Coordinator will also be responsible for the production of background papers, briefing materials, and providing policy analysis to influence and inform displacement actors in the region and beyond.
The position is based in Nairobi (Kenya) and opened to national applicants.
The role will have the following key responsibilities :
Strategy and positioning
- Coordinate the implementation of DRC’s Regional Advocacy Strategy;
- Develop policy and advocacy materials including talking points, briefing notes, position papers and advocacy reports;
- Develop advocacy products and policy briefs including analysis of information produced through DRC’s programmes and information management systems. Use evidence to inform advocacy priorities and positions;
- Liaise with key DRC partners, line ministries, UN, NGO and other interlocutors to ensure that DRC has up to date information on the humanitarian situation and response in the region;
- Participate in regional advocacy working groups, including by supporting the planning and drafting of relevant products such as joint statements and briefings;
- Alert the Regional Advocacy and Communications Manager to relevant policy developments and provide analysis for senior management;
- Suggest actions to national policy responses and policy frameworks, as well as other factors such as UN coordination, funding for the response, security and access, and current and future challenges that have an impact on humanitarian assistance and related services;
- Support the preparation of high-level field visits.
Technical Support
- Support country-level Advocacy Officers in the development and implementation of country-level advocacy strategies;
- Support the Head of Programmes and technical coordinators in articulating priority advocacy objectives and develop programme-specific advocacy strategies;
- Review materials produced by DRC country offices and headquarters teams to ensure consistency with DRC EAGL policy positions.

- At least 3 years of professional experience crafting and delivering policy and advocacy work responding to complex humanitarian crises and/or post-conflict situations and at least 5 years of applicable professional experience in total;
- Strong understanding of the political and humanitarian context in East Africa and Great Lakes;
- Master’s degree in human rights, social sciences, media, or related discipline;
- Full proficiency in spoken and written English. French is an added advantage;
- Ability to analyse quantitative and qualitative data.
- Understanding of the UN and international donor landscape, including challenges and constraints in East Africa and Great Lakes.
- Experience in negotiation with UN, INGO, donors and coordination forums.
- Knowledge of refugee rights and international humanitarian law.

Regional Digital Communications Officer
Overall purpose of the role:
Reporting directly to the Regional Advocacy and Communications Manager, the Regional Digital Communications Officer is part of the Regional Advocacy and Communications Unit and will be responsible for pushing forward the implementation of DRC EAGL’s communication strategy and further develop DRC’s communications work.
The Regional Digital Communications Officer will be responsible for leading on and supporting the design and delivery of external and internal communications products for DRC EAGL and supporting country offices in the region in their communications work. This will include the development of a range of products to reach identified targets including (but not limited to) the donor community, public in donor countries, public in the region, decision-makers in the region and globally, and staff across the organisation.
The position is based in Nairobi (Kenya) and opened to national applicants.
The role will have the following key responsibilities :
Social Media
- Ensure that the regional social media strategy is developed, reviewed, updated, and monitored as necessary, and aligns with relevant global and regional strategies;
- In coordination with the Regional Advocacy and Communications Manager, manage DRC EAGL social media accounts, including through developing a content plan and engaging with country programmes to include their content on social media channels;
- Ensure content and channel management and community engagement across owned channels, in close collaboration with the Regional Communication Officer and country teams.
- Implement digital analytics tools;
- Create compelling reports outlining key learnings, as well as meaningful implications and actionable recommendations to help achieve DRC’s goals and strategies;
- Regularly engage with communications leads in DRC country programmes across the EGAL region to provide ad-hoc support, support in the development of social media strategies, and identify training needs.
Support to country programmes
- Provide additional graphic and map design support to country offices in order to make the best use of capacities across the region;
- Ensure that all DRC sign-off procedures are followed;
- Regularly update DRC intranet with content from DRC EAGL.
Strategic communications products and design
- Support the Business Development Coordinator in the design of outward-facing products, including concept notes and proposals, and compelling infographics, ensuring they all adhere to branding guidelines;
- Lead and otherwise contribute to the development of communications standard operating procedures (SOPs);
- Monitor how communications products are engaged with and utilise feedback to adapt future communications initiatives;
- Ensure that visibility requirements linked to regional products are met; where regional projects involve working with partner organisations, ensure that partners are equitably included in design and delivery of communications strategies and work; and are promoted equally alongside DRC;
- Ensure that DRC brand guidelines are followed across all DRC EAGL communications, including ensuring all country programmes are familiar with and following brand guidelines;
- Lead the planification and content development of online campaign, including for World Refugee Day, World Humanitarian Day and other key events.

The Regional Communications Specialist will be responsible for leading on and supporting the design and delivery of external and internal communications products for DRC EAGL and supporting country offices in the region in their communications work. This will include the development of a range of products to reach identified targets including (but not limited to) the donor community, public in donor countries, public in the region, decision-makers in the region and globally, and staff across the organisation.

The role will have the following key responsibilities :

- Collect case study stories, photos, and videos from DRC programmes across the EAGL region as part of regional communications initiatives and to support country programmes where necessary, including through regular visits to DRC operations. Ensure that approaches to informed consent and ‘do no harm’ approaches to communications are followed;
- Ensure that the Regional Communication Strategy is developed, reviewed, updated, and monitored as necessary, and aligns with relevant global and regional strategies;
- Design factsheets and regional programme profiles in support of advocacy, business development, and external representation engagements;

Support to country programmes
- Regularly engage with communications leads in DRC country programmes across the EGAL region to provide ad-hoc support, support in the development of communications strategies, and identify training needs;
- Support country programmes in providing communications capacity strengthening to national and local organisations and ensuring that communications strategies are co-designed equitably with partner organisations;
- Ensure that country programmes are effectively utilising funds for visibility contained with programme grants, ensuring they are put to strategic use in support of communications objectives.
- Ensure that all DRC sign-off procedures are followed;
- Where necessary and requested, provide additional support to country offices during significant communications moments e.g. the organization of public events.

Executive Support Specialist
Overall purpose of the role:
Reporting directly to the Regional Advocacy and Communications Manager, the Executive Support Specialist is part of the Regional Advocacy and Communications Unit and will provide high-level support to the Executive Director, Senior Management Team and Senior Leadership Team.
The position is based in Nairobi (Kenya) and opened to national applicants.
The role will have the following key responsibilities :
Administrative assistance to the Executive Director
- Manage the calendar of the Executive Director, make appointments/schedule meetings with key partners (Donors, Local Partners, Board Directors, etc.);
- In collaboration with the Regional Advocacy and Communications Manager, compile documents for meetings, including background documents and talking points;
- In collaboration with the Regional Advocacy and Communications Manager, support Country Offices ahead of the Executive Director’s visits, ensuring the development of a detailed and relevant agenda with clear advocacy and engagement goals;
- Attend to and monitor urgent enquiries and issues, ensuring that they are brought to the Executive Director’s attention and, where relevant, referring matters on to appropriate staff for response;
- Maintain an effective and confidential filing system for the Executive Director including preparing replies to routine and basic correspondence on behalf of the Executive Director;
- Develop & maintain the Executive Director’s contact database for relevant donors, partners and other stakeholders;
- Screens documents that need the approval of the Executive Director, and certifies they are completed with compliance before presenting them for approval in ensuring that the process went through the right channels and financial verification are in place;
- Be an informed key contact for the Executive Director Office and handle internal and external enquiries in a professional manner liaising with key contacts across DRC (HQ, RO, CO) and other networks.
Coordination of Regional Office meetings/events/visits
- Take a lead role in organising regional meetings and events involving the Executive Director, in liaison with other departments. Take full responsibility for scheduling timings and venues, communicating arrangements to participants and coordinating with Administration and Supply Chain team to organise transport, booking facilities and hiring service providers as required. Develop the agenda and materials as needed in collaboration with the Senior Management Team and ensure action plans are tracked, followed-up on and reported back to the following meetings;
- Take clear and concise notes during senior management meetings, ensuring that key decisions and action points are captured, following up with relevant focal points when necessary. Ensure that meetings notes are circulated after and ahead of meetings;
- Maintain an efficient filing system for the Senior Management Team and Senior Leadership Team, ensuring that relevant documents, including action points, are easily available and centralised in one location;
- In consultation with the Executive Director, develop and maintain a regional annual events calendar and disseminate it to RO staff and Country teams;
- Coordinate high level field visits and accompany visitors as necessary to field visits. Prepare visitors itineraries and send required pre-arrival information, arrange logistics and assist visitors in their visit schedule as required;
- Maintaining and ensuring that key EAGL Regional office information (organogram, sitreps, maps, etc.) is accurate, in a format to share with external partners, board members and also accessible on SharePoint for DRC EAGL staff.
